How RestoPOS stores, backs up, and retains your restaurant data — and exactly what happens when your subscription changes. Clear timelines, no vague language.

⚠️ Important: If this policy changes, all active tenants will be notified by email at their registered address before the changes take effect. Continued use of RestoPOS after notification constitutes acceptance of the updated policy.
All RestoPOS account data is stored securely on Amazon Web Services (AWS) cloud infrastructure. This includes your menu, orders, billing records, GST transactions, staff data, inventory, customer loyalty data, and reports. Cloud data is encrypted in transit (TLS) and at rest (AES-256).
When using RestoPOS Desktop (Windows), billing and transaction data is also stored locally on your PC to enable offline functionality. This local data:
💡 RestoPOS has no visibility into or control over data stored on your local PC. We strongly recommend enabling cloud sync and downloading regular backups from your dashboard to ensure your data is protected independently of your local device.
RestoPOS performs automated full server-level backups on AWS infrastructure at the following frequencies:

These are server-level disaster recovery backups used to restore the entire platform in the event of hardware failure, server crash, or data corruption. They are not individual tenant backups and cannot be used to restore a single account's data selectively.
⚠️ In a disaster recovery scenario, data created between the last successful backup and the time of the incident may be lost (up to the backup interval window). RestoPOS is not liable for this data loss. See Section 6 — Limitation of Liability.
RestoPOS provides a realtime backup service within your tenant account that continuously syncs your data to the cloud independently of the platform-level disaster recovery backups. This is your personal data safety net.
✅ We strongly recommend enabling realtime backup from your Account Settings. It takes under 2 minutes to activate. Think of the AWS server backup as the building's fire alarm — it protects everyone on the platform. The tenant realtime backup is your own insurance policy — it protects you specifically.

Full access to all features. Data stored on cloud and optionally on local device. AWS backup running. Tenant realtime backup available. Full data download available from dashboard at any time.
If your subscription expires and is not renewed, a 15-day grace period begins. All features remain fully accessible during this window. No data is affected. Renewing within this period restores normal service with no interruption.
If not renewed within the grace period, your account becomes Dormant. You can log in to your account but all operational features are disabled. Your data remains accessible — you can view reports and download backups. Renewing at any point during dormancy immediately restores full access.
If the account remains dormant for 90 days without renewal, all cloud data is permanently and automatically deleted. AWS backups containing your data are purged within 3 days. This action is irreversible.
RestoPOS will notify you through all available channels on your account (Email, WhatsApp, SMS) at the following intervals during the dormant period:

📥 Download your data before deletion. Go to your dashboard → Settings → Backup & Export to download a complete backup of all your restaurant data at any time during the active or dormant period.
You have the right to request immediate deletion of your account and all associated cloud data at any time — including before the 90-day dormant period ends. This right is provided under the Digital Personal Data Protection Act, 2023.
To request deletion:
Deletion requests will be processed within 7 business days. AWS backups containing your data will be purged within 3 days of the deletion being processed.
⚠️ Download your data backup before submitting a deletion request. Data deleted at your explicit request cannot be recovered under any circumstances, including by RestoPOS support.
GST billing and transaction records are your business records under the Central Goods and Services Tax (CGST) Act, 2017. Indian tax law requires businesses to retain GST records for a minimum of 6 years from the relevant financial year.
RestoPOS does not retain these records on your behalf after account deletion. It is your responsibility to:
RestoPOS provides GSTR-1 and GSTR-3B compatible exports from the Reports section of your dashboard. We recommend setting a monthly reminder to download your GST reports.
RestoPOS maintains a 99% uptime assurance and takes all commercially reasonable measures to protect your data. However, in the event of:
RestoPOS shall not be held liable for:
RestoPOS's liability for data loss is limited to cases where loss occurs due to our gross negligence and outside the scope of force majeure events described above. This limitation is consistent with industry-standard SaaS practices and applicable provisions under the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023.
We strongly recommend enabling tenant realtime backup to minimise your exposure to any data loss scenario, regardless of its cause.
RestoPOS reserves the right to update this Data & Backup Policy at any time. If any changes are made, all active tenants will be notified by email at their registered account address before the changes take effect. We will not change this policy without notice.
Continued use of RestoPOS after a notified policy change constitutes your acceptance of the updated terms. If you do not agree with any change, you may request account deletion as described in Section 4 above.
